We store personal data sent to us by clients and external vendors in order to perform our services.

In case you wish to receive news or other promotional information, we should have your explicit written consent for this. For this purpose, you can contact us at info@projectus-grupa.hr.

The maximum retention period is seven years from the receipt of the data, i.e. after the termination of the business relationship.

All collected data is stored in files on a remote server (sync.com), in our cloud translation project management system (XTRF) and on our email server. These systems apply strict security measures and have GDPR-compliant procedures in place. The information is only available to our employees and may not be shared or sent to third parties without the express approval of the person concerned.

Client data

All personal data voluntarily provided by clients as natural persons or representatives of legal entities will be registered and stored in our system for the purpose of making offers, communication during the performance of the service, delivery of the service, invoicing and notification of news that affect the existing business relationship or new services. We only collect basic personal information that does not include specific types of information or location-based information. These may include first and last name, private or business email address, personal or corporate address, and mobile or landline phone numbers. Such personal data is not collected by third parties.

We keep the data for the entire duration of the business relationship with the client and for a maximum of seven years after the last business activity. They will be removed when you notify us of the termination of the business relationship and/or request their removal.

If you believe that the information we process is inaccurate, you can request access to personal data, their rectification or erasure at any time. If you would like to submit a complaint related to how we process your personal data, please contact us at info@projectus-grupa.hr. If you are not satisfied with our response or you believe that your personal data is not processed in accordance with the law, you can send a complaint to the Personal Data Protection Agency (AZOP).

Personal Data in Translation Documents

The documents we receive for translation may contain personal information. All documents and reference materials received are confidential and we protect their contents.

It is the obligation of the client as the primary controller to ensure that he/she has the consent of the data subject or other legal basis for submitting content that includes personal data for translation purposes. This is especially true of documents containing special categories of personal data.

We do not use the personal data contained in the translation documents for processing for purposes other than the translation of those documents.

Translation documents are shared securely with translation service providers (third parties) that operate in accordance with the rules for the protection of personal data in the context of pre-contractual inquiries and during the performance of the contract.

Special categories of personal data
If your documents contain special categories of personal data belonging to a third party data subject, it is your obligation to obtain appropriate consent and determine the legal basis for the processing of this data in accordance with Articles 6 and 9 of the General Data Protection Regulation (GDPR).

Personal data of external vendors (translators/reviewers/proofreaders, trainers)

Any personal data voluntarily provided by third parties, such as names, email addresses, phone numbers, postal addresses and others, is registered in our system. We store such information for the purpose of contacting external vendors to work in new projects, create purchase orders and contracts, communicate during the project, and to verify and process invoices.

For the purpose of fulfilling contractual obligations and requirements of the standards according to which we are certified (e.g. ISO 17100), our vendors provide their CVs, copies of diplomas and other documents proving their qualifications. Our vendors and potential vendors decide for themselves what information, in addition to basic contact information, they will include in the CV.

The information is only available to our employees and will never be shared with third parties.

Bank account information contained in invoices is required for payment purposes. We keep the original invoices for eleven (11) years for tax purposes in accordance with Croatian laws.
